Summary
This position will assist the university's inaugural chief consulting officer and serve as a critical member of the team that builds a highly skilled, high functioning group of internal consultants and project managers. The office will support projects and strategic initiatives across Business and Finance as well as other client engagements across the university. Reporting directly to the chief consulting officer, this position provides responsible and confidential high-level administrative support, assists with the recruitment and onboarding of new staff, and works on a variety of projects and initiatives. The incumbent in this position will have the ability to interact effectively with multiple constituencies ranging across faculty, staff, students, and administrators (including executives). Responsibilities*
Administrative Support for Chief Consulting Officer (CCO) (40%)
- Perform a variety of administrative tasks to support the daily operations of the department
- Provide comprehensive administrative support to the CCO, including calendar management, meeting scheduling, travel arrangements and expense reimbursements, document creation/management, and handling of correspondence (e.g., emails) with judgment and discretion
- Provide effective meeting support and management, including assistance in preparing for meetings (creating agendas, presentations, and other materials; gathering appropriate supplies; etc.) and occasional in-meeting support (note-taking, tech support, etc.); meeting support may need to be in person or remote
- Make independent decisions on matters of significance affecting department logistics (ordering, scheduling, communications, etc.)
- Maintain and track department budget; this will include management of individual transactions, reconciliation of Pcard charges, and tracking of expenses and projected expenses for specific initiatives and programs.
Project Coordination and Event Support (25%)
- Provide logistical support and coordination for key initiatives associated with the office, help track project deadlines and deliverables, and create and monitor schedules for complex administrative initiatives
- Anticipate and plan for projects, meetings, and events, including project- related events that may involve complex scheduling, large audiences, or sensitive topics
- Coordinate and/or assist with the execution of a wide variety of events (such as town halls, focus groups, virtual meetings and programs)
- Coordinate all event-related logistics, including identification of and reservation of appropriate venues, creating and managing reservations and event communications, and completing pre- and post-event administrative tasks (such as ensuring appropriate supplies and supports are in place).
Human Resources Support (25%)
- Provide administrative and logistical support for the recruitment, hiring and onboarding of multiple staff positions, including:
- prepare position description drafts, working with human resources and budget specialists to finalize and post positions;
- develop recruitment plans and schedules (calendaring interviews, etc.);
- communicate with applicants and manage their interactions with the process, including making travel arrangements and managing reimbursements for expenses;
- manage applicant files and recruitment logs; and
- provide support as needed throughout the recruitment process.
- As new staff positions are filled, manage the logistical aspects of onboarding, including:
- assign offices/workspaces and ensure that staff have what they need to succeed;
- develop onboarding plans, support the implementation of those plans, and track new employee's onboarding progress; and schedule periodic onboarding sessions for new hires and the CCO.

- Experience in planning and executing events.
- The ability to effectively use Microsoft Office software, especially Outlook, Word, PowerPoint, and Excel
- Experience with (or ability to learn) software/productivity applications such as the Google (G-suite) environment (Gmail, Google calendars, and Google drive), Adobe applications (Photoshop, Illustrator, etc.), and other collaboration tools.
- Strong written communications skills, including proficiency in proofreading, spelling, grammar, and punctuation
- A service-oriented attitude and the ability to professionally represent the Office

Required Qualifications*
- At least 5 years of experience in an administrative support capacity, with experience in scheduling, calendar support, and task/project coordination;
- Proven ability to work professionally with the public and serve as a representative of the office with discretion.
- Ability to work flexibly and independently, set priorities, work simultaneously on numerous initiatives and continuously advance each, use good judgment and initiative, and meet/exceed deadlines.
- Event planning and execution experience, from initial concept (purpose of the event) to execution and post-event assessment;
- Recruitment and hiring experience, including managing recruitments from beginning to end (i.e., successful hire and onboarding of new team members)
- A bachelors' degree from an accredited university or equivalent combination of education and/or experience.
Desired Qualifications*
- Experience in higher education or other mission-driven context; experience at the University of Michigan strongly preferred.
- Experience with major initiatives or projects, in any of the following roles: as member of an implementation team; providing support for project management teams or professional project staff; providing project coordination; or managing change in a work setting.
