Summary
The School of Information is searching for a part-time to full-time temporary events assistant to support the UMSI Events Manager in the planning and execution of logistics for schoolwide events, on-site and remote guest speakers, grant-funded workshops, faculty/staff/student events and special events.
Responsibilities*
- Assist in the planning and execution of school events, including selecting and ordering of food and beverages for on-site or off-site catering and coordinating guest travel (air and ground), lodging, meeting schedules and reimbursements.
- Support the execution and set-up/clean-up of meetings and special events. Coordinate registration and act as on-site point of contact on day-of special events. Guide on-site guests to each scheduled meeting and manage their day-of itinerary.
- Keep track of all expenses and assist in conducting reconciliations and preparing reports on activities costs.
- Support UMSI off-site special events.
- Other duties as assigned.
Required Qualifications*
- Associates Degree or 3+ years of professional experience demonstrating customer service skills; Proven strong communication and organization skills; high degree of accuracy and attention to details; experience and proven ability to work under pressure in a high-activity, dynamic environment working both on a team and independently; proficient in Google Suite.
- This position involved travelling to various locations on and off campus to pick up and deliver materials.The candidate will need to provide their own mode of transportation to get to and from these locations.
- Knowledge of University policies and procedures; experience with Concur, Marketsite.
- Prior experience in event planning.
Work Schedule
- Up to 40 hours/week, some afternoons and evenings and/or weekends.
- Starts ASAP, expected to last through April 2024 with the possibility of extension.
Additional Information
Physical Demands/Work Environment
- The person in this position routinely moves furniture and equipment weighing up 50 pounds throughout the School of Information and campus buildings to remove or relocate furniture, or perform other Facilities Assistant duties mentioned above.
- May require work during early mornings or occasionally on nights, and/or weekends.
