Job Summary
Provide general office coverage for the facilities offices. Related functions will include acting as receptionist, answering phones, directing students / staff / and guests to appropriate locations within the building and on campus.
Maximum of 125 hrs. per mo. Hours are flexible between 8 a.m. – 5 p.m. Monday – Friday
Essential Responsibilities and Duties
Perform receptionist duties including but not limited to: Greet people, screen phone calls, record messages, enter data, create calendar appointments, receive and distribute mail and packages.
Track OSHA safety training compliance for SLCC staff / faculty / students and volunteers. Help facilitate Safety Data Sheet (SDS) Compliance for the Environmental Health and Safety Manager.
Help maintain the physical appearance of the Facilities Office spaces. Filing and other duties as assigned.
Knowledge of standard office practices and procedures. Proper business English, including spelling, punctuation and grammar for reading, writing and speaking skills. Proficient in Microsoft office suite, including word and excel.
Excellent interpersonal and communication skills required.
Work with diverse personalities and backgrounds.
Communicate effectively orally and in writing. Perform clerical duties with limited supervision.
Computer applications (ie. Microsoft Word, Excel, Outlook, data retrieval systems etc.).
Excellent, accurate keyboarding skills are required.
Essential Responsibilities and Duties Continued
Provide support for Environment Health and Safety manager, this includes Recycling, Waste and Environment Health and Safety for the college.
Act as a greeter and information coordinator for the Facilities Division.
Minimum Qualifications
Valid Utah Drivers license or able to obtain on within 3 months.
Must have at least on full year of post – secondary education (approx. 32 credit hours completed).
2 years of direct experience in an administrative type field
Preferred Qualifications
Associate degree in business administration or other appropriate business management field.
Knowledge, Skills & Abilities
Able to work with minimal supervision in a fast paced, demanding environment,
Quickly and efficiently, working knowledge of Microsoft Office 365, Teams & Zoom meeting setup.
CMMS System (Computerized Maintenance Management System) Banner, Fleet Focus, and other software programs as the need arises.
Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic, background, to maintain good working relationships across the college. Ability to work with all groups in diverse academic, socioeconomic, cultural and ethic background of community college students, faculty, and staff, including those with disabilities.
Non-Essential Responsibilities and Duties
Help maintain data for over 200 + vehicles and components, registrations, licensing, safety and emissions inspections, compliance reporting and preventative maintenance scheduling.
Schedule motor pool vehicle reservations.
Assist in tracking SLCC purchases: receipts, reallocations, and processing end of month billing statements.
