Summary
Support the goals of a student-focused, fast paced career center by coordinating all administrative, financial and human resource support services. Follow university protocol and utilize existing technological systems to perform duties. Additionally, supervise the Information Desk operations to ensure quality customer service and office operations.
Responsibilities*
Budget and Finance (40%)
- Coordinate all transactions related to Cash Controls/Internal Controls
- Reconcile and monitor Concur
- Reconcile incoming cash for University Career Center revenue generating activities in eReconcilliation
- Manage and administer (in tandem with SL Finance Office) office budgets, utilize M-Reports, M-Pathways, Business Objects and other budget management tools
- Create annual and quarterly budget reports (in tandem with SL Finance Office) monitoring and analyzing revenue and expenses
- Create and implement office wide processes for financial transactions including, but not limited to, incoming revenue and cash handling procedures, and office purchases including Internal Controls
- Coordinate the Information Desk staffing
Administration (30%)
- Respond to UCC emails and the University Career Center administrative dealings (HR and Finance)
- Organize tasks associated with the Information Desk operations
- Support and educate a staff of 20 on business and transactional requests related to University business
- Conduct Space Analysis
- Handle procurement/process requests for new software/bus charters, and other miscellaneous items
- Order supplies and attend to hosting needs for office
- Work with Procurement on any purchases or licenses for the University Career Center utilizing the PRF system for authorized purchases
- Manage vendor relations/negotiations and logistics of purchasing working with procurement and utilizing strategic vendors when applicable
- Serve as a liaison for staff on issues related to travel and hosting. Provide access to necessary forms and procedures to ensure staff follows the most updated University information and protocol
- Create innovative means to streamline unit procedures and reduce costs
Human Resources & Payroll (25%)
- Supervise 5+ student staff
- Supervise 1 FTE full-time staff member
- Assist in the creation of Information Desk work schedules and process manuals
- Determine hiring needs for unit student staff. Hire and evaluate student assistants
- Monitor Time Reporting/Gross pay for full time and student staff
- Process HR job req/student temp positions
- Maintain personnel files, process paperwork and maintain records for hiring including permanent/temp, and student staff. Design and implement systems for staff payroll within the context of Student Life procedures and University programs
Additional Duties (5%)
- Provide quality customer service to UCC clients and University Career Center staff; address challenging client requests and handle extenuating circumstances to fulfill staff needs
- Serve as a liaison with Plant Operations to ensure things are working properly
- Ensure the University Career Center is compliant with sustainability efforts in line with the University
- Prepare correspondence related to office issues, inquiries and responses
- Serve on the Student Life Key Administrator team
- Contribute to building positive campus community that affirms and values all members, is equitable and inclusive
- Represent office on university committees and provide quality information in a professional and cordial manner
- Forward missions and goals of the unit and Student Life within established set of organizational values
Required Qualifications*
- High School diploma or equivalent
- Minimum of four years of business/administrative experience with knowledge of accounting, budgeting, and forecasting
- Minimum of two years of computer related activity including: developing spreadsheets, Excel, website updating, and Microsoft office
- Minimum two years of customer service experience
Desired Qualifications*
- Bachelor’s degree or equivalent combination of education and experience
- Knowledge and demonstrated use of University of Michigan business systems
- Professional experience assisting others in the navigation of complex systems
- Professional experience dealing with ambiguity
