Essential Job Duties
The primary purpose of the Executive Assistant position is to administer, manage and provide administrative support to the Vice Chancellor for Information Technology and CIO (VCIT):
- Develops and provides detailed budget estimates, logistics, and coordination of multi-day workshops and meetings with internal (e.g. CALS) and external entities (including partnering corporations) that involve grants and/or partnerships;
- Manages schedules, meeting arrangements, travel, purchasing supplies for the office, and provides support for special projects;
- A variety of responsibilities includes responding to requests for information and data about OIT, managing administrative support for committees and professional meetings for the VCIT, and coordinating events, travel arrangements, and travel reimbursement for the VCIT;
- Serves as link and filter for the VCIT and as a liaison between the VCIT and the division’s and the university’s internal and external contacts;
- Must exercise considerable independence in carrying out broad responsibilities as an assistant to the VCIT.
- Required to exercise considerable judgment and discretion in making decisions, which can have a major impact on the university and its image.

Minimum Experience/Education
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
- Excellent visual attention to detail and strong oral and written communication skills are critical;
- Excellent Google Workspace, Word, and Excel skills;
- High proficiency with Google Calendar and Microsoft Office products, including but not limited to Microsoft Word, Excel, PowerPoint, Google Docs, Spreadsheets, etc.;
- Ability to successfully work autonomously and with noted responsibilities and/or training
- Experience in high-volume environments;
- Ability to maintain confidentiality and professionalism.
Preferred Qualifications
- Experience supporting executives and/or senior-level administrators.
