Campus/College Information: The University System of Maryland Office (USMO), led by Chancellor Jay A. Perman, is the staff to the Board of Regents. Staff members advocate on behalf of the 12 USM institutions, facilitate collaboration and efficiencies among the institutions, and provide information about the system to the public. With leadership from the USM Board of Regents and Chancellor Perman, the USMO coordinates academic programs, assists with long-range planning and resource management, facilitates private fund raising, and provides financial stewardship.

Position Summary/Purpose of Position:
Position Summary/Purpose of Position: This position is located in Adelphi, MD, with the option to telework part of the week. The Executive Administrative Assistant I provides administrative support for the Office of Education & Outreach, Academic & Student Affairs and P-20 partnership projects.
Responsibilities
Office Support
- Maintains complex calendar and travel management for Associate Vice Chancellor and Senior Director for Education, Outreach and Pipeline Development, including in-state and out-of-state travel arrangements and expenses for staff.
- Drafts routine correspondence, prepares and manages P-20 mailings, maintains P-20 files, and schedules P-20 and grant-related committee meetings.
- Assists in logistical arrangements for both small and large-scale events.
- Prepares meeting notes for internal and external meetings that the Associate Vice Chancellor hosts.
- Provides oversight and reviews correspondence and financial transactions originating from the Maryland Center for Computing Education at USM.
- Establishes new organizational support infrastructure, files, and budgets for emerging projects, such as new grant proposals and P-20 committee work.
- Assists in P-20 website content development and graphic design.
- Organizes and manages P-20 “Teams” files, recordings of meetings, and “One Drive” files for access to entire P-20 team and MCCE team.
Database Management and Data Analysis
- Collects, compiles, and organizes database for P-20 projects, including community contacts, project artifacts, evaluation and assessment data, and project work-plans.
- Analyzes data, summarizes to create spreadsheets/graphs, and communicates the findings to Associate Vice Chancellor and project managers, and disseminates the information to community partners, including public school clients, business community clients, and public and private two-year and four-year institutions.
Financial Recordkeeping
- Establishes and maintains all budget records among multiple P-20 grant partners, including System Institutions and community partners, Maryland Public Schools, Maryland Community Colleges, and Maryland business community.
- Assists in the preparation of preliminary and final P-20 grant proposals and budgets. Tracks program budgets through the UMCP account inquiry process and manages state and credit card accounts.
Minimum Qualifications:
Education: High School Diploma or GED.
Experience: Four years’ administrative experience with a minimum of one year’s experience with financial recordkeeping. Formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Knowledge, Skills, and Abilities: Computer skills including the ability to research on the internet and proficiency and strong skills in Microsoft Office and Google Drive filing systems. Ability to establish and maintain effective working relationships, to present ideas and information clearly and concisely both orally and in writing. Excellent organization and communication skills, ability to perform mathematical computations to present statistical material in chart and graph form.
Preferences:
Preferred Education: Associate’s or Bachelor’s Degree.
Preferred Knowledge, Skills, and Abilities: Understanding of grant-funded projects, grant budgets, grant proposals, and reporting regulations.
