Position Summary:
Rowan-Cabarrus Community College is seeking a full-time Executive Assistant for the President’s Office. This position reports to the Chief Officer of Governance, Advancement & Community Relations in the Office of the President. The Executive Assistant position provides direct administrative support to the President and the College’s Governance, Advancement & Community Relations operations.
Position responsibilities will include providing support by preparing meeting agendas and minutes, managing calendars, and coordinating travel. The position will also support College and Foundation special projects and prepare, review, revise and distribute a variety of routine correspondence as needed.
Staff Required Education/Experience:
Associate’s degree and two (2) years of experience providing administrative support to an organizational executive; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
Desired Education/Experience/Skills:
- Preferred administrative assistant experience to a high-level executive.
- Excellent communication (written, oral, and nonverbal) skills and ability to work effectively with a diverse group of people.
- Ability to maintain confidentiality in communications.
- Ability to efficiently work in a fast-paced environment.
- Demonstrated self-motivation, proactive work ethic, and strong follow-through skills.
- Attention to detail. Advanced knowledge of Microsoft Office, including Outlook, Word, PowerPoint and Excel and the ability to multitask.
- Willingness to become proficient in additional software as needed.
Other Knowledge, Skills and Abilities:
Knowledge of: customer service principles; basic principles and practices in assigned area of responsibility; modern office procedures, methods and equipment; basic filing and record keeping principles; English language, grammar and punctuation; data review techniques; computers and related software applications.
Skill in: composing routine correspondence, memos, forms and/or other related information; maintaining files and databases; providing customer service; proofreading and editing documents; processing and reviewing data; coordinating travel arrangements; prioritizing work; interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. Political and social sensitivity; excellent technical skills; strong organizational skills; ability to maintain confidentiality.

Work Hours:
Typically, 8:00 a.m. – 5:00 p.m., Monday – Friday. Evening and/or weekend hours will be required on occasion. Must be willing to work at each of the College’s campuses on a regular basis in order to provide in-person administrative support to the President, dependent upon their schedule.

Duty and Responsibility:
Provides front-facing administrative support in the Office of the President by greeting guests, answering phones, and coordinating with colleagues to ensure the office is staffed at all times.
Duty and Responsibility:
Oversees the President’s calendar by scheduling internal and external meetings and ensuring appropriate follow ups are made and obligations are met so that the President’s day-to-day and long-term agendas are accomplished.

Prepares and maintains an accurate listing of the President’s priorities in preparation for weekly touch-base meetings to ensure that timely and appropriate progress is made.

Prepares, reviews and/or processes a variety of routine correspondence within and outside the College on behalf of the President.

Coordinates all travel for the President by making arrangements and finalizing itineraries.

Completes all travel authorizations and reimbursements for the President and Board of Trustees.

Assist the President and Chief Officer of Governance, Advancement & Community Relations in preparations for the Board of Trustees, Cabinet, Council meetings including, but not limited to, managing attendance, reminder calls, making copies, room set-up and break down.

Processes, receives, sorts and distributes a variety of correspondence and mail for the President’s Office and the division of Governance, Advancement & Community Relations in a timely manner.

Provide support for internal and external meetings by preparing materials, PowerPoints and minutes (as appropriate).

Assists with other President’s Office and Foundation events including Convocation, Welcome Back, Holiday Social, Cultivation Luncheons, Graduation, etc. as needed.

Provides administrative support for the College’s policies and procedures including ensuring that all approved policies and procedures are available on the College’s SharePoint site.

Assists the President and Chief Officer of Governance, Advancement & Community Relations in preparations for the monthly Board of Trustees meetings and weekly meetings with College leadership.
