Performs advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. Prepares correspondence, memoranda, reports, etc. Initiates routine and some non-routine correspondence and memoranda. Screens telephone calls and visitors. Resolves routine and complex inquiries. Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements. Prepares and distributes minutes of meeting. Utilizes the assistance of one or more lower-level secretaries on a reporting or project basis. Employees in this classification typically analyze, compare and evaluate various courses of action and have the authority to make independent decisions on matters of significance, free from immediate direction, within the scope of their responsibilities. Primary activities and decision-making authority are predominantly performed independently affecting business operations to a substantial degree. Day to day administrative support for the office of the CMO, including written communication that appropriately represents the executive office. Strong understanding and knowledge of clinical operations to execute and facilitate daily clinical needs for a senior level executive. This dynamic role requires an individual who demonstrates a professional demeanor at all times and exemplifies “patient centered” ideals, with particular strengths in confidentiality and ethical response in all interactions. The position strikes a balance between clinical, clerical, and administrative excellence and the ability to act with diplomacy, tact, and ethics in a community-based healthcare setting. Provide a bridge for smooth communication between CMO office and all internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Key liaison with external community, potential donors and hospital partners to assist with direction, coordination and support for business development. Liaison for the office of the CMO with faculty/ staff working within the C&W hospital. Research, prioritize, and follow up on incoming issues and concerns addressed to the CMO, including those of a sensitive or confidential nature. When applicable, determine the appropriate course of action, referral, or response.
Bachelor’s degree in Business Administration, or related field. At least five years of relevant experience in administrative support. Some understanding of data and data analysis methodologies. Reasonable knowledge of U-M policies and procedures. Strong customer service skills and ability to work independently as well as part of a team. High functioning experience with meeting coordination. Documented excellent verbal, written and interpersonal skills. Demonstrated excellent organizational and multi-tasking skills with attention to detail, timelines and prioritization. Ability to work independently and as part of a team. Proficient in use of Microsoft Word, Excel, PowerPoint, Outlook, etc.
Monday-Friday 7am-4pm or 8am to 5pm.
This position is starting as soon as possible and will last at least 6 months.
