Job Summary

The Clinical Research Coordinator (CRC) will perform independently or with general direction at the fully operational journey level of the series to execute, manage, and coordinate research protocols, as directed by the Clinical Research Supervisor and/or Principal Investigator (PI); may coordinate the data collection and operations of several concurrent clinical research studies under the guidelines of research protocols, UCSF and regulating agency policies.

The CRC's duties may include, but will not be limited to supporting the management and coordinating the tasks of single or multiple clinical research studies, depending on their size and complexity; act as intermediary between services and departments while overseeing data and specimen management; manage and report on study results; create, clean, update, and manage databases and comprehensive datasets and reports; coordinate staff work schedules, assist with training of Assistant CRCs, and assist Clinical Research Supervisor and/or PI with oversight of other research staff; manage Investigator’s protocols in the Committee on Human Research online system, as well as renewals and modifications of protocol applications and the implementation of new studies; participate in the review and writing of protocols to ensure institutional review board approval within University compliance; help assure compliance with all relevant regulatory agencies; oversee study data integrity; implement and maintain periodic quality control procedures; interface with departments to obtain UCSF approval prior to study initiation; maintain all regulatory documents; report study progress to investigators; participate in any internal and external audits or reviews of study protocols; and perform other duties as assigned.

The study coordinator will work directly with our study primary investigators, in the Department of Neurology on multiple research projects within the Neurological Emergency Research Group. This role will require the study coordinator to work with neurologically impaired patients including those who have suffered a stroke, traumatic brain injury, cardiac arrest and other injuries or diseases, in the inpatient setting including but not limited to the ED, ICU, ward services and outpatient research setting. The study coordinator will be required to work onsite at UCSF Hellen Diller Medical Center at Parnassus Heights as well as other locations as needed. Primary duties will require work onsite.  

The study coordinator will have the opportunity to have direct patient interaction, meaningful networking and collaboration with members of the UCSF scientific community as well as collaborating institutions. We are seeking an experienced and highly organized individual to lead as the primary coordinator on key projects in the research group. Ability to think critically to manage complex administrative, regulatory and logistical challenges is critical.

The study coordinator will coordinate complex studies in the in-patient and out-patient setting. The ideal candidate will have clinical research experience in a fast paced and high-pressure environment. Enrollment in the Neuro Emergency Research Group often occurs within a very tight time frame in an acute emergency environment. The candidate must be able to interact collaboratively with physicians, nurses, patients, and be able to use sound judgement. The research that we are doing changes the way patients are treated in the future; we are seeking a highly motivated and dedicated individual to join our team!

Department Description

The mission of the Department of Neurology at UCSF is to deliver superb patient care, to apply state-of-the-art translational research methods to discover the causes of and treatments for human nervous system disorders, and to educate each generation of medical students, neurology residents and postdoctoral fellows. By fostering cross-disciplinary interactions among scientists around the world, it accelerates the pace of discovery and champions the University's global health initiatives. The Department of Neurology is the second-largest department at UCSF, with an annual operating budget in excess of $150M. It is the number one recipient of NIH funds among neurology departments of U.S. medical schools, and its services are ranked third in California among hospitals that offer neurology and neurosurgery services.

The Department of Neurology is a teaching, research and clinical care unit within the School of Medicine (SOM). The Department of Neurology is a large, multi-site department, with locations including Mission Bay, Parnassus, Mt. Zion, ZSFG, VAMC and the Gladstone Institutes and is affiliated with the UCSF Weill Institute for Neurosciences. The department is constructed of 14 administrative divisions with 11 clinical specialties. The department has over 230 faculty and academic employees, 260 staff positions, and 150 trainees including: residents (46), clinical fellows (37) and postdoctoral scholars (70).


Required Qualifications

  • HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities.
  • Clinical research experience.
  • Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population.
  • Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines.
  • Interest and ability to work with patients in the inpatient setting.
  • Ability to work extended hours and/or nights, weekends or holidays as needed.

Preferred Qualifications

  • Knowledge and understanding of stroke, traumatic brain injury and/or cardiac arrest
  • Clinical research project management skills including proven ability to manage complex systems with competing priorities.
  • Fluency in the usage of Committee of Human Research (CHR) online iMEDris system for submission, renewal, and modification of protocols through this system.
  • Understanding of patient population to create rapport and a relationship, while also giving insight to what is realistic and appropriate for patient participation.
  • Experience with electronic medical records.
  • Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.); knowledge of medical terminology, research policies and guidelines, guidelines for packing/shipping infectious substances, database building/analysis, and data management within some of the following:  Access, Stata, SASS/ SPSS, and Teleform programming platforms.
