SUMMARY

Provides administrative and other support as required for the Vice President, Directors, Managers, and Supervisors in the Engineering Department with high quality and minimal supervision. Reports directly to an organizational leader and also supports their department's subordinate leadership and Technical Staff. Accomplishes multiple tasks quickly and efficiently, and makes administrative decisions and delegated actions on behalf of the department. Arranges meetings, coordinates with suppliers of administrative services, processes and stores documentation, and provides data entry, analysis, and formatting. Possesses a positive attitude and can work effectively with a wide range of personalities and temperaments.

ESSENTIAL FUNCTIONS AND DUTIES

  • Acts as a point of contact for department customers and visitors, and manages Visit Authorization forms
  • Supports routine personnel matters such as ITAR issues, Personal History Statements, and subcontractor documentation
  • Records overhead expenses within specialist's area of responsibility, incorporating both labor and material data including planned, committed, and expended funds
  • Maintains configuration and quality documentation
  • Provides assistance to leadership as needed using various computer programs (MS Office, Access, Jira, Confluence, Content Server, etc.)
  • Answers multiple telephones, drafts reports, letters, memos, and other correspondence as requested
  • Processes and pursues internal communication with Engineering's sibling departments, such as Supply Chain Management, Accounting, etc., on requests as needed
  • Arranges job postings with Human Resources, pre-vets resumes, schedules interviews, and oversees and executes onboarding procedures for new employees
  • Manages local, remote, and electronic data archives, scanning and extracting data from products as needed and creates electronic data hierarchies with appropriate security permission designations.
  • Performs office support duties (word processing, data entry, proofreading, etc.) to support the engineering, design, or documentation of the Engineering Department's various products, standards, and procedures.
  • Performs other responsibilities and duties as assigned

SKILLS AND QUALIFICATIONS

  • High school graduate or equivalent, plus minimum of five (5) years administrative support experience using MS Office, including Word, Excel, Outlook, PowerPoint, and Visio. Is capable of learning other NASSCO-specific applications (timekeeping, business status, data archives) as needed and demonstrated within 30 days of appointment
  • Possesses strong knowledge of general office procedures, including data entry, report design and manipulation, graphs, spreadsheets, and presentations. Strong knowledge to include the following skills or equivalent on applicable office software: lookup/reference formulae, chart generation and formatting, filtering of data tables, formatting of text documents and presentation slides, and creation of flowcharts and timelines
  • Must have excellent organizational skills and be physically able to commute to various areas in the shipyard
  • Must have excellent communication and problem-solving skills
  • Will support and commit to NASSCO's vision, mission, and values
  • Demonstrates a detailed quality orientation on administrative tasks (such as data entry and word processing) through low initial error rates, effective proof reading, and the development and use of self-checking tools

PHYSICAL DEMANDS

Work primarily conducted in an office setting with good lighting. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus. Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing. Must be physically able to commute to buildings throughout the shipyard. Occasional exposure to dust, fumes and moderate levels of noise.

PAY SCALE

$53,300 - $69,000

This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
